Answers to Frequently Asked Questions about ILLiad

What is Document Delivery?

When needed research materials are unavailable at UNCP, students, staff, and faculty members may request them through the ILLiad system, making it possible for researchers to obtain materials from libraries around the world. The types of materials generally available are monographs (books and other non-serial publications), photocopies of journal articles, government documents, some audiovisual materials, and microforms.

Document Delivery Services, which handles the requests, is a part of Access Services at Livermore Library. Circulation and course reserves are related functions also available through Access Services.

What is ILLiad?

ILLiad is the electronic system you use to request an item through Interlibrary Loan. The name ILLiad can be thought of as an acronym for InterLibrary Loan internet accessible database.

How is ILLiad better than traditional ILL systems?

  1. You will find it easier to submit your interlibrary loan requests. With ILLiad, you enter your name, address, and other personal information into the system only once, at the time of your first request.
  2. Your request will be handled more rapidly and accurately as problems relating to misinterpretation of hand-written requests are eliminated.
  3. You can get many of your photocopies more quickly through Electronic Delivery.
  4. You can get information about the status of your request through the Web at any time from any location without having to call the ILL Department.
  5. Library personnel are able to serve you better because all data about your request and its handling is stored in a searchable database. We are able to respond quickly to your inquiries about your request. We are also able to gather statistical information about the performance of the libraries that lend to us, enabling us to make better decisions when choosing a lender to supply an item.

Are there any disadvantages to the electronic system?

Some people might find it troublesome to have to log into ILLiad using a username and password. We believe this is less trouble than traditional paper and electronic systems which require you to enter your personal information with each new request.

Who can order?

All students, staff, and faculty members are eligible for Document Delivery services. We regret that we cannot offer Document Delivery services to persons not affiliated with UNCP in a student, staff, or faculty category. Friends of the Library and other unaffiliated library patrons may contact their local public library for this service.

How can I order?

UNCP ILLiad is the system used to submit, track, renew (when possible), and retrieve Document Delivery materials. To request an item, you must first register with the system by creating an individual username and password. In order to do this, proceed to the the first time registration page at http://uncp.illiad.oclc.org/illiad/firsttime.html and complete the registration form using your web browser.

Why do I need a username and password to use ILLiad?

Registration has three purposes:

  • Entering your peresonal information into the ILLiad system means you will not have to supply the information when making future requests.
  • Having your e-mail and regular addresses on file with Document Delivery Services enables us to notify you promptly and deliver materials accurately when your request arrives in the Library. It also enables electronic delivery when available.
  • By specifying a username and password of your choosing, you will have secure access to information about your requests. You will be able to review the list pending requests, checked out items, and past requests.

Your username should be your UNCP e-mail address without the @uncp.edu. You cannot change this username. Your password can be anything you like. We recommend that you follow good security practices and choose a password that is different from those you use to access other systems, though you may wish to keep all of your library passwords the same for your convenience. However, no one will know your password, not even library staff, as ILLiad encrypts it. You may chagne your password at any time by logging into your ILLiad record.

What if I forget my password?

In the event that you forget your password, there is a Forgot Password link on the log on page, which will allow you to reset your password to ill. Passwords are case sensitive. If you are unable to reset your password, please contact the Document Delivery Services Office 910.521.6516 or illiad@uncp.edu. We can then reset your password to ill allowing you access to ILLiad. Please change your password once you logon to ILLiad.

What Web browser should I use?

You need a Web browser that can handle forms, tables, and preferrably Cascading Style Sheets (CSS). We recommend the current versions of either Microsoft Internet Explorer or Mozilla Firefox.

Is security a problem if I use a public workstation?

Yes. Web browsers cache information and create a history file on the local workstation. This allows a subsequent user of the workstation to access the system under your name using the browser's Back button to recall a page from the cache, or by finding a page with your personal information in the browser's history file. If you are concerned about the security of your interlibrary loan requests, you can take the following steps:

  • Access ILLiad only from your personal computer or an otherwise secure workstation.
  • Access ILLiad from a public workstation in the Electronic Resources Center in Livermore Library. These computers are supervised by the library staff.
  • When using a public access workstation:
    • Delete from the history file those pages that contain your personal information.
    • Exit from the Web browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.

How do I pick up my order?

You will receive an email notiification when your request has been filled. Returnable items are mailed to faculty, staff, and graduate and distance education students. Undergraduates may pick up their returnable items at the circulation desk. Non-returnable items will be delivered electronically unless otherwise specified in your preferences. All notifications and deliveries will be sent to the e-mail address on record. All returnables not retrieved within two weeks will be returned to the lending library.

How long will my order take to be delivered?

Generally copies are available withing 2-3 days, as most are delivered electronically. Locally held returnables will be available within 48 hours. Items being shipped through the mail, including books and some journal articles, are generally available within a week. However, pleases allow 2-3 weeks for delivery of materials as shipping times may vary.

How long may I keep the materials I've borrowed?

Books, videos, and other returnables have a due date. If the item does not belong to UNCP, the lending library determines the due date. The due date will be printed or written on a label placed on the material. PLease honor the due date. Please do not remove any labels placed on materials. Return items to the Circulation Desk at Livermore Library. Photocopied items may be kept.

Limitations?

Although there is no limit on the total number of requests a patron may make, we encourage you to travel to other libraries for on-site access to materials when entensive use of the collection is required.

Materials generally not available for borrowing are: rare books, printed newspapers, popular media items, some microform collections, some dissertations and theses, reference books, and entire issues of recent periodicals. Exceptions for loans of certain materials may be made by special agreement if the lending library is willing.

In addition, the Library will not request items from other libraries that the Library owns unless the item is damaged, missing, or needed for course reserves. If you would like to request library-owned materials, you may submit a hold request either through ILLiad or the Library's online catalog. You will receive a notification when the item has been returned and is ready for check out.

Cost

Document Delivery is almost always available free of charge. At the time of the request, you can specify the maximum amount you are willing to pay or to specify that you do not wish to pay anything. Undergraduate students are responsible for their own document delviery costs. If the item cannot be obtained free of charge the requestor will be notified ans asked to specify whether or not he or she is willing to pay the fee. If so, the item will be ordered; if not, the request will be canceled. The Library will pay for up to 10 faculty, staff, and graduate student requests incurring a charge, after which time, further requests incurring a charge will be approved by the Dean of Library Services on a case-by-case basis. Requestors may make unlimited requests of items available free of charge.

Can I reqeust videos, DVDs, and other media?

To request media items simply click on the Media Reqeust link in the ILLiad menu. While some libraries are willing to loan media items, some media materials are difficult to obtain. Please be aware that when borrowing is possible, they may take longer to obtain and may have a very short loan period.

Why don't I see all my older requests when I look at my request history?

From time to time we purge older records from ILLiad. Our policy is to keep requests online for several years order to comply with record keeping requirements of the copyright law.

What is electronic delivery?

Many libraries ship photocopies of articles to us in electronic format. In the past we printed these articles before delivering them to you. Now, through ILLiad, we are able to offer you the option of electronic delivery of these articles in PDF format (Adobe's Portable Document Format). Who do I contact if I have problems with or questions about ILLiad?

You may call Document Delivery Services during office hours between 8:00 a.m. and 5:00 p.m. For questions concerning book, movies, and other returnable materials, call Tela Brooks at 910.521.6658, and for questions concerning copies and other non-returnables, call Penny Locklear at 910.521.6615. Why does my browser say that you're sending a cookie? What's in it?

The technology that we use sends a Session ID to be stored on your machine. You can refuse this cookie and still be able to use ILLiad without any problems.
